6 Reasons Every Company Needs an Event Planner

We’ve given plenty of tips here throughout the years to help you bring an event to life but when it comes to corporate company events, the pressure is on and you are going to want an event planning team, here are some of the reasons why:

1.) LESS STRESS. There’s a reason our motto is “Bringing Calm to the Chaos.” Planning a large event can add stress to any relationship, with a lot of different, ever changing parts and ideas to juggle, it helps to bring in an outside team to help make final decisions without creating internal issues. Planners bring connections, they have experience and relationships with vendors to create more accurate timelines and budget estimates. Plus the skills to prevent potential problems, and help come up with quick solutions for any that arise, worse case you’ll have someone else to blame for any hiccups. 

2.) SAVE TIME. Planning an event takes a lot of time and effort. Depending on the type of corporate event you’re throwing, you may need a variety of vendors, guest speakers, and activities to keep people occupied. If you do have guest speakers, you’ll need to figure out presentation times that work with their own schedules, A/V, and establish backups just in case of emergencies. Organizing your guest list, inviting them all, keeping up with conversations and registrations takes a lot of staff time, depending on how big the event will be. You can focus on the big picture while we set up and see to the smaller details.

3.) STAY ON BUDGET. Corporate event planning companies know how to budget wisely and still give their clients exactly what they want, whether it’s a million-dollar entity that can afford to be lavish or a smaller business looking to network and expand their reach. Event planners are more likely to tell you when your vision is bigger than your budget.

4.) VENDOR RELATIONSHIPS. It may seem easy to find a businesses pics online, call, and lock in the details but you won’t exactly know the kind of service and quality you’ll get if you haven’t used them before. Like we said said, planners bring connections, when you hire event management, you also get access to their resources. They have an entire database full of vendors that meet your specifications, whether you want vegetarian food options, non-alcoholic beverages, or gluten-free options all the way to explosives and proper permitting. They may also be able to get discounts you’d otherwise miss out on.

5.) SETUP + CLEANUP. You want to create a memorable event and be a part of the experience. You will work the team on the layout and timeline prior so they can handle any issues that may arise too. The events team will setup, manage services like audio, visuals, IT, lighting, seating, table settings, bar, food, interaction, activations, guests, and more. The final step, of course is cleanup, most vendors pack up their own product, but guests aren’t as aware, most venues don’t even provide trashbags or trash service!

6.) GUEST SATISFACTION , OVERSIGHT, AND FEEDBACK. Do you need to track attendee satisfaction and manage follow-ups afterward? Depending on the event goal, you’ll need to follow-up and have honest, in the moment feedback. Your planner will go over different ways based on your event needs.
